Timetable engine

The timetable engine is a separate view that displays the reservations made and published in the resource calendar included in Peppi. As a student, you are able to view your own course timetable in the timetable engine and compile new timetables. You can use timetable engine without logging in but only logging in you can save your schedules.


If implementation is virtual there´s not necessary timetable for it. If virtual implementation consists of webinars they are usually in timetable. If they are not, please contact the implementations teacher so webinars can be added.

You can access the timetable engine at lukkarit.peppi.jamk.fi or from the link on the first page of the Pakki student desktop.

The timetable engine opens in Finnish by default, but you can change the language by clicking the FI button. When you have logged in, you can change the language from the arrow next to your name in the top-right corner.

  • Timetable engine open in Current events view. You can search schedules by clicking Calendar button
  • When you log in to the timetable engine for the first time, the program creates an automatic course timetable based on the implementations you have enrolled to.
  • The timetable engine only retrieves information from Peppi. It cannot be used for adding or enrolling to implementations.
  • As a student, you are able to view in the timetable engine the reservations to which you have been accepted.
  • Weekends will only appear in your calendar if there are events on Saturday or Sunday.

Glossary

  • Basket = When you select implementations to your calendar, they move into the basket. The system creates the timetable based on the content of the basket. The basket and the timetable have the same name.

Switching to the Calendar admin view

Click the arrow Arrow in the top-right corner of the page and select Calendar admin.

Creating a new timetable

  • Switch to the Calendar admin view.
  • Under Calendars, select Add new calendar. The New calendar window opens.

  • Enter the name of the basket in the field and click Save. The name may not exceed 30 characters.

You will find the new basket from the Schedule drop-down menu at the top of the page.

Adding implementations, groups and rooms to the basket

•Adding to an auto-generated timetable (Automaattinen lukujärjestys) is not possible.

•If you choose Hide search results, you can display them again by selecting Search.

•If there is a basket icon on the search item row, the item is already in your basket. Click Delete to delete an item from the basket.

Searching for implementations

  • Select Calendar > Realization search.

  • Enter a part of the implementation name or code in the field.
  • From the drop-down menu, select the criteria by which you want to search for implementations:
    • By name or ID
    • By group ID
  • If applicable, select the time range during which the implementation is active from the Active range field.

  • Select Search. A list of the search results opens.

    • Use the drop-down menus above to filter the search results.

  • Select +Add to add the implementation to the basket.

Select Info for further information about the implementation and its teaching facilities.

The search results will not display the teacher’s name next to the implementation.

Subgroups


If the implementation has subgroups, this is indicated by an arrow before the search result. Click the arrow to view a list of subgroups from which you can select your own group.

  • Select Calendar > Group search.
  • Enter a part of the group name or identifier in the field.
  • Select Search.
    • A list of the search results opens.
  • Select +Add to add the group to the basket.

  • Enter a part of the room name or identifier in the field.
  • Select Search.

Free period search


If your calendar has times available and you want to search for courses to fill them in, use the free period search. The search will list all the implementations for which reservations are found from the selected period.

  • Select Calendar.
  • Click on a blank spot in the calendar view or highlight the desired time from the calendar. The Free period search window opens.
  • You can filter the search by the time, duration and place of the free period.

    • If you want to edit the time, select the desired day and time from the calendar week, and then select Set. Note that the selection is not confirmed by merely clicking on the date.

  • A list of search results opens in the same window.
    • The implementation row lists all the reservations for the implementation and its potential subgroups.
    • If the implementation has subgroups, this is indicated by an arrow before the search result. Click on the arrow to display a list of the groups.
  • Select +Add to add the implementation to the basket.

Overlaps

If a lecture shown by the free period search overlaps with your reservations, more detailed information is shown in the Overlaps column.

  • The search will go through all the reservations of the implementation that are not in your basket and checks how many classes overlap with the reservations in your basket. The red bar indicates the overlaps. The calculations only take into account upcoming events.

  • To view more details, select Show overlaps.
    • The window that appears displays the names and times of the reservations as well as the exact lengths of the overlaps.

Adding complete reservations in the timetable


You can add several complete reservations, e.g. all the reservations of your groups, in the course timetable in one go.

  1. Select Index or switch to the Calendar admin view and select Index next to the title.
  2. Select the reservations from the drop-down menu.

Removing implementations, groups and rooms from the basket

  1. Select Index.
  2. Select Group(s), Implementations or Room.
    1. To delete subgroups, click the arrow before the implementation name to display them.
  3. Search for the group, implementation or status that you want to delete, and then click the recycle bin icon next to it.

The program will not ask you to confirm that you are sure that you want to delete the item from the basket.

    1. Select Calendar.
    2. Click the reservation on which you want to view more detailed information.
    3. To hide the reservation, click Hide event in the implementation window, and then click Hide hidden events in the top-right corner of the calendar view.

Changing the timetable name

An auto-generated timetable (Automaattinen lukujärjestys) cannot be edited.

  • Switch to the Calendar admin view.
  • Select Edit next to your timetable.

Setting the default timetable

The default timetable opens automatically when you log in.

  1. Switch to the Calendar admin view.
  2. Choose Set as default schedule.

Sharing a timetable calendar link


You can synchronise your course timetable with your Google or iCloud calendar.

  • From the front page, select Index > Share calendar

Edit calendar name

    • The feature creates an iCal link.
  • Copy the link and add it to the desired calendar. The sharing will be updated according to the time ranges you specified in the calendar program.

If you want to stop synchronising the calendars, select Stop sharing calendar.

Deleting a timetable

Note that the program will not ask you to confirm the deletion of the timetable. A default timetable or auto-generated timetable cannot be deleted.

  1. Switch to the Calendar admin view.
  2. Select Delete.

Adding notes

Notes are timetable-specific and cannot be edited afterwards.

  1. Select Index >Notes> +Create new note.
  2. Enter the desired text in the field and select Save.

Viewing and deleting notes

  1. Switch to the Calendar admin view.
  2. Click the note icon next to the timetable name. The number shown in the icon indicates the number of notes.

To delete a note, click the recycle bin icon. Note that the system will not ask you to confirm the deletion of the note.
